Warehouse Manager (HCMC)

Purpose of The Role:

To lead the warehouse team in providing excellent service to customers, principals and internal departments. Protecting Company assets, production efficiency and motivating the staff while completing the tasks within target deadlines are the main focus of this position.

To manage temperature data logger resources and make sure validation will be performed as planned for warehouse

Check goods receipt/ dispatch activities for both normal, cold chain and frozen goods
What You’ll Do:
-
Making the warehouse operate at the highest performance level while motivating warehouse staff and third‑party labelling staff. Act as a role model in providing excellent service to both internal and external customers.

Regularly reviewing warehouse productivity and identifying improvement opportunities.
-
Promoting and implementing cost efficiency.
-
Identifying warehouse functions in SAP that can be utilized for efficient warehouse operations.
-
Suggesting enhancements or revisions in SAP to improve warehouse management.
Warehouse Operations Management
-
Managing all warehouse sections, including:
-
Receiving and put-away of stocks.
-
Labelling, stickering, and printing materials required before selling.
-
Automatic and manual replenishment from bulk storage to picking locations.
-
Picking, checking, packing, and zoning of products.
-
Dispatching stocks to delivery staff and forwarders for delivery from the Central Region to the Mekong Delta, including Hanoi branch transfers.
-
Maintaining appropriate temperature control, including acceptable recording of temperature and humidity, and validation of cold chain and frozen product setups nationwide.

Ensuring efficient processes in the returns section.

Managing goods receiving activities, including FIE goods.
-
Managing goods receipt and dispatch for cold chain and frozen products.
-
Regularly meeting with principals to address general and specific warehouse-related issues.

Coordinating with other departments on matters related to warehouse functions.
-
Handling projects related to warehouse functions or other assigned projects.
-
Developing staff capabilities, career growth, and succession planning.
-
Maintaining Good Storage and Distribution Practices (GSDP).
-
Managing Temptale resources and ensuring validation activities are completed as planned for South and Central warehouses.

Supporting and handling warehouse audits for South warehouses.
For CTM Project
-
Perform all CTM-related activities in compliance with regional guidelines and project-specific DPI.
-
Understand DPI requirements and train staff on applicable operational procedures.
-
Coordinate with other departments to assess current procedures and improve them when necessary.
-
Handle all incoming CTM goods receipts and placement, including receipt, storage, and issuance according to SOP (item details, lot/serial number, quantity verification, etc.).
-
Ensure CTM products are stored orderly according to requirements (item description, lot/serial number, batch number, expiry date).
-
Raise non-conformance reports and documentation for CTM discrepancies.
-
Coordinate with cycle count teams and verify inventory count results.
-
Perform or coordinate CTM goods returns from study sites to ZPV.
-
Coordinate with internal and external parties for CTM destruction.
-
Prepare deviation reports and CAPA when excursions occur.
-
Prepare monthly reports and submit them to the regional office and relevant departments.
-
Liaise with principals or regional offices for other assigned tasks.
Additional Responsibilities

Formulate and implement policies aligned with approved Operations Department policies.

Establish warehouse goals and programs.

Achieve assigned KPI targets.

Protect company assets.

Maintain warehouse costs within approved budgets.

Foster and maintain high morale and motivation among warehouse staff.

Complete projects according to agreed timelines and target outcomes.

What Will Make You Successful:
Education & Qualification
- Bachelor’s degree (pharmaceutical degree is an advantage).
Working Experience
- Experience gained in high-volume distribution environments such as pharmaceutical wholesaling, food, or grocery distribution.
- Experience with third-party contractors is considered equally valuable.
- Strong logistics knowledge, general business skills, and basic IT systems knowledge.
- Minimum 2 years’ experience as a Warehouse/Logistics/Transport Manager, or 4 years in a senior supervisory role in companies with high storage, handling, or manufacturing standards.
- Experience managing teams of 130 employees or more.
