Project Coordinator

What You’ll Do:
Client Relationship Management
- Build and maintain strong relationships with key stakeholders of across assigned client accounts
- Provide regular updates and ensure timely follow up on outstanding matters
- Deliver a high standard of service to drive client satisfaction
Order Management and Execution
- Manage SAP setup, including material master, customer master, and contact creation
- Oversee inbound and outbound order processing in coordination with Clinical Operations, QA, and Finance teams
- Handle courier arrangements and track shipments through to proof of delivery
- Manage vendor and supplier relationships
- Liaise with Regulatory team to secure import licenses for inbound shipments
- Maintain accurate databases for shipment tracking and order management
- Update clinical systems (IVRS/IWRS/IXRS) with shipment status
- Provide clients with inventory reports, shipment updates, and invoicing details
- Maintain proper documentation, including study files and archiving
Study / Project Management
- Draft and review Depot Project Instructions to ensure accuracy and compliance
- Train stakeholders to ensure adherence to study requirements
- Manage study setup, execution timelines, and close-out activities
- Coordinate with Sponsors, CROs, and internal teams across multiple countries
- Monitor project timelines and budgets
Compliance and Quality
- Ensure adherence to ISO standards and regulatory guidelines (GMP/GDP/GCP)
- Support internal and external audits
Continuous Improvement
- Identify and contribute to process improvement and cost savings initiatives
Must-Have:
- Degree in Logistic, Supply Chain Management or related discipline.
- Experience with SAP (Order processing, shipping and courier coordination)
- Proven experience managing projects across multiple countries
- Strong communication and stakeholder management skills
