Purpose of the Role: Facility Officer
- Preventive maintenance, repair, and replacement of office building/ warehouse and all the machinery inside.
- To manage the suppliers/ service providers and ensure the use of proper skilled persons or technicians in order to assure safe, efficient operations and meet the standards of HSSE, 5S, GSDP, GMP as well as Quality ISO.
- All warehouse-related licenses or permits shall be valid by closely working with RA department and keeping all the document/ service reports.
What You’ll Do:
- To ensure SOP’s are maintained up to date and that any changes are discussed with the Operations Manager & Quality Team.
- Plan, implement and monitor preventive maintenance works of the various equipment and systems of the building either by in-house technicians or contracted companies.
- Monitor all repair works to equipment by contracted providers/vendors and ensure that all works are in accordance to specifications as prescribed.
- To ensure all the equipment is in operational condition – immediately report to the Operations Manager for any break-down and take further prompt actions.
- All the equipment such as generators, AC units, cold room compressors are turning on/ off schedule as per the procedures/ work instructions.
- The generators, cold room, alarm systems, AC units, reach truck, delivery trucks, fire extinguishers are regularly inspected and ensured to meet the preventive maintenance plan. All the service/ maintenance records/ reports are properly controlled – any recommendations from the contracted providers/ vendors are reviewed and reported to the Operations Manager to prevent potential break-downs.
- Align with WH team, Transport team, and relevant personnel before the works of servicing/ maintenance and ensure the actions are not impacted/ delayed for regular operations activities.
- Ensure all the warehouse facilities are always clean & shiny – meet the quality & safety standards. Check the housekeeping activities are met as per schedule.
- By using the racking inspection form – regularly inspect all the selective rackings and storage pallet positions are in a safe condition. Any unsafe conditions & unsafe actions are immediately reported to the Operations Manager and take corrective actions.
- Perform root cause analysis for any abnormal conditions/ failures – take required corrective and preventative actions to prevent the recurrence of such conditions.
- To schedule preventative and break-down maintenance for office building/ warehouse facility.
- Monitor and maintain cost effectiveness on assets maintenance.
- All warehouse-related licenses and delivery truck licenses shall be valid – ensure all those processes are timely completed both new application or renewal activities.
- Both the wastes from regular operations and product destructions shall be recorded by segregating such as recyclable or non-recyclable waste – report it to the Operations Manager.
- Fuel purchasing records for generators & delivery trucks, and electricity bills are updated in the Microsoft Team and reported to the Operations Manager for further review.
- Support both HSSE inspection and 5S inspection with Warehouse & Transport Team. Report the non-conformity / near-miss cases to the eQMS systems and close the findings by negotiating with relevant teams.
- Support the redressing activities and any required tasks assigned by Operations Manager.
- To check the solar systems in both physically & in software and its performance as well. Any observations are to report to the Operations Manager and contact the Solar Service Provider. Ensure the service provider is to perform the regulary preventive and maintenance activities as per schedule.
Must-Have:
- At least two years of experience in warehousing facilities or related industrial fields.
- Must have leading skills, teamwork, cooperation, interpersonal skills, and communication skills.
- Must have knowledge of cold chain products, DG products, contaminated products,5S, GMP, GSDP, ISO standards.
- Must have knowledge of warehouse safety and housekeeping and good documentation practices.
Advantage to Have:
- Reasonable knowledge of English skills and certifications in computer, email, and internet
- Good knowledge of selective racking systems, safe storage, manual handling, material handling equipment, etc.
- Good attitude, positive-minded, and healthy – the ability to work a flexible time schedule during the equipment break-down or servicing/ maintenance activities.
- Self-reliant, honest, hard-working, and under pressure.
