Assistant Supervisor (Medical Device)

Purpose of The Role: 
To supervise daily loan set operations for orthopaedic implants and instruments, ensuring accurate, compliant, and timely delivery to hospitals for surgical cases. Maintain service quality, drive process compliance, and prevent deviations that impact patient safety and case readiness.

What You’ll Do:

Operations & Case Management

• Oversee the planning, kitting, dispatch, and return of orthopaedic loan sets for TKA/THA/trauma cases
• Review case bookings and allocate appropriate sets (e.g. Triathlon CR/PS, MAKO, power tools, etc.)
• Coordinate urgent transfers between hospitals and CSSD, ensuring full documentation compliance
• Verify loan sets against checklists prior to dispatch and upon return

Quality & Compliance

• Enforce SOPs for set checking, photo documentation of inner/outer trays, and handover records
• Investigate deviations/incidents (e.g. wrong insects, missing trays) and lead CAPA implementation
• Ensure proper relabelling, tray integrity, and traceability standards are maintained
• Liaise with CSSD, sales team, and surgeons’ offices on set availability and operational issues

Team & Vendor Management

• Supervise operations coordinators and drivers; provide training on handling procedures, photo SOP, and escalation protocols
• Monitor 3rd party transporter performance and address service level failures, escalating when necessary
• Conduct audits of returned sets within 24 hours, regardless of next-day allocation

Communication & Reporting

• Provide timely updates on urgent transfers, issues, and acknowledgements
• Maintain records of deviations reports, CAPAs, and preventive action tracking
• Support the sales team with set status updates, add-on requests, and urgent case coordination

Continuous Improvement

• Identify recurring issues in loan set flow. Implement preventive actions
• Drive adoption of photo verification, tray relabelling, and cross-check processes
• Ensure operational readiness for audits and compliance with medical device regulatory standards

Must-Have:

• Diploma or Degree in Biomedical Science, Nursing, Supply Chain or a related field
• Minimum 3 years of experience in Orthopaedic loan set operations, CSSD, or medical device operations
• At least 3 years of Supervisory experience
• Strong understanding of Triathlon Knee System, MAKO, power tools, CSSD workflow, and medical device regulations
• Strong attention to detail and problem-solving skills
• Proficient in MS Office and SAP ERP systems
